Depending on your situation, your gym may also act as a separate controller for certain member data. Their own notices or agreements may apply in addition to this policy.

1. Who we are

SolidFitTrack is a software platform for workout management, progress tracking, and gym operations. It is used by gym owners, personal trainers, and athletes / trainees who are associated with one or more gyms registered on the service.

This policy explains how we collect, use, store, and protect personal data when you use SolidFitTrack. By creating an account or using the platform, you acknowledge these practices, to the extent they apply to your relationship with us and with the gym you belong to.

2. Information we may process

Depending on how you use SolidFitTrack, we may process categories such as:

  • Account & identity: name, email address, phone number (if provided), password (stored using strong hashing), optional profile photo, time zone, and email verification status.
  • Gym membership: your role at a gym (owner, trainer, or trainee), member number, membership status, and relevant dates.
  • Training activity: workout plans, prescribed exercises, logged sets, weights, media attached to workouts where the product allows uploads, and related history.
  • Health & body metrics (when you use those features): physical evaluation data, body measurements, goals, and similar indicators entered in the app by trainers or trainees in a gym context. Such data may be sensitive; we only process it as needed for the features you or your gym use and as described here.
  • Check-ins: attendance or check-in records when that feature is used.
  • Gym finances: subscription plans, billing-related records, and financial transactions entered or managed through the platform for gym operations.
  • Invitations: information required to send and process invitations for new gym members.
  • Technical & security data: IP address, browser type, access logs, session identifiers, cookies, and similar technologies needed to run and secure the service.

3. How and why we use information

We process personal data to:

  • Provide the service, register accounts, authenticate users, and offer support (performance of a contract and steps prior to entering a contract);
  • Enable trainers and gyms to assign workouts, track progress, and collaborate in the professional context agreed with members (performance of a contract and, where applicable, legitimate interests);
  • Comply with legal and regulatory obligations;
  • Protect the security and integrity of the platform, prevent abuse and fraud (legitimate interests);
  • Maintain reliability and improve performance and user experience, including aggregated analytics where appropriate (legitimate interests).

Where local law requires a specific basis (for example, explicit consent for certain health-related processing), we rely on the basis that applies in your jurisdiction and how you or your gym submit data through the product.

4. Sharing

We may share data in situations such as:

  • Within your gym’s workspace: users linked to the same gym may see or manage information according to product permissions (for example, trainers viewing trainee data for that gym).
  • Service providers: hosting, infrastructure, transactional email, or operational tools, under confidentiality and data-protection obligations, only as needed to run SolidFitTrack.
  • Legal requirements: when required by law or to protect rights and safety.

We do not sell your personal information.

5. Storage & security

We implement reasonable technical and organizational measures to protect data against unauthorized access, loss, or misuse, including access controls, password hashing, and secure development practices. No online service is completely risk-free; we encourage strong passwords and device security.

6. Retention

We keep data for as long as needed for the purposes above, to meet legal obligations, and to resolve disputes. When an account ends or data is no longer required, we may delete or anonymize it unless the law requires longer retention.

7. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal data, to object to or restrict certain processing, or to withdraw consent where processing is consent-based. Legal deadlines and exceptions may apply (for example, if your gym must retain records for compliance).

For requests that relate solely to data your gym controls as an independent organization, we may direct you to the gym’s administrator.

8. Children

SolidFitTrack is not directed at children under the age where parental consent is required in your region without appropriate involvement of a parent or guardian. If you believe we have collected data from a child without a proper legal basis, please contact us.

9. International transfers

If we use providers or infrastructure located outside your country, we take steps consistent with applicable law to safeguard transferred data (such as contractual safeguards where required).

10. Cookies & similar technologies

We use cookies and session mechanisms needed for sign-in, security (including CSRF protection), and core application functionality. You can control cookies through your browser; disabling essential cookies may prevent normal use of the service.

11. Changes to this policy

We may update this Privacy Policy to reflect product or legal changes. We will post the revised version on this page with an updated “Last updated” date. Continued use after material changes may indicate that you acknowledge the update, as permitted by applicable law.
